Choosing the right room set up for corporate events

There are many reasons why you might be planning a corporate event, it could be a glitzy awards ceremony, a seasonal product showcase, an away day, a strategy session, a networking drinks evening or a black-tie dinner.

The list is endless.

In all of these instances, the layout of the room will make all of the difference to the experience that you deliver for those attending. It could be that a theatre style set up would work best if a presentation is being delivered by the Chief Executive, while an exhibition style would support a showcase of new products or ideas.

This is just one of the reasons why it is so important to visit a venue before booking the space. Finding out what is possible and how a set up will impact on what you hope to deliver is fundamental.

Lights, camera, action

It is becoming increasingly common for corporate events to be filmed, with that comes the need to consider the light and acoustics of the space that you choose.

If a room is too dark it could mean that you need to budget for additional lighting or if the roof of a space is too high causing feedback from the sound system, it might mean that a smaller room would be better suited to your needs.

If you know that you are going to have hundreds of guests in a theatre style, it makes sense to test out the space ahead of the event to ensure that the venue has the right AV equipment available. This will give you a clear direction in terms of what additional kit you may need.

Variety is the spice of life

At Glaziers Hall we have seven spaces for our clients to choose from and each has several ways in which it can be set up. This makes the event space incredibly versatile and able to meet with the multiple needs of our clients and the occasions that they are catering for.

As just one example, we have hosted a celebrity charity ball for several years now, in addition to the Banqueting Suite, which is used to present the awards from the stage and also for a delicious three-course meal, there are also break out areas for interviews and a red-carpet reception.

We’ve also had BBC Sounds deliver a session in the London Bridge Arches, which is a series of interconnecting stone vaults. While it may not have been the most obvious space for this event, it worked brilliantly and created just the right atmosphere. The acoustics were fantastic too, ensuring the team were able to deliver an event that met with their objectives.

Tailoring the space to better suit your needs

While theatre style and cabaret are classic room layouts for corporate events, it is worthwhile talking a look at all of the options before making your final choice. At Glaziers Hall in the River Suite for example we provide theatre, classroom, cabaret, dinner, dinner dance, boardroom and standing reception.

Of course, we would also work with the client if they had something very specific in mind, but importantly its about using the space to its best advantage. Taking influence from the events team at the venue will give you a better idea of what is and is not possible.
