It may sound like an obvious first step when you’re planning a corporate event, but it can be more of a challenge than we realise to find a corporate venue that has the capacity to accommodate all of our guests. What’s more, it’s not always about headcount, but also what you want to deliver within the space.
As an example, if you have a new range of products that you want to showcase to your colleagues or visual displays that you would like to share to encourage conversation and discussion, this needs to be carefully planned ahead of the event.
Thought needs to go into the layout of the room and how you will use the set up to achieve your objectives.
Exclusive Event Hire
For those that are looking for exclusive hire of a venue, it may be that consideration needs to go into what each separate space will be used for. There could be a coffee station with pastries to register before attendees’ head to a larger conference style room for the formal session you are delivering.
Then there could be a space that is set up for lunch, providing people with another change of scenery and the opportunity to clear their heads before a second session is delivered in the afternoon.
Clearly, in order to achieve this, the venue will have to have several spaces that can each be used for different purposes.
At Glaziers Hall we have seven very unique spaces for our clients to choose from. The Banqueting Suite is the largest of the rooms, followed by the River Suite, Court Room, Thames Balcony, The Bridge, Library and then we have the London Bridge Arches.
Each space has its own character and charm and that’s why the venue is so versatile. We have everything from wine tastings and seasonal product showcases to celebrity charity balls and press days for boxing matches.
Digital infrastructure
With the collective space to accommodate 450 people at any given time, we also have the digital infrastructure in place to host 500 simultaneous users across the network. This means that any hybrid or international requirements that businesses may have can also be facilitated.
In addition to the connectivity, we also have the latest wireless systems that allow for presentations to be delivered in any of our spaces quite literally at the touch of a button.
Asking the right questions
When you’re looking for a venue, make sure to have a set of questions at the ready to ensure that the space that you choose is going to meet with your needs.
Here are some to get you started:
- What is the capacity of each of the rooms when sitting and standing
- What are the dimensions of each room
- What layouts can be delivered in each of the spaces
- Are there any columns or architectural structures that need to be considered
- Do you have a loading space that can be used for set-up and break down
- What time can we access the venue
- Do you have onsite security
- Is there a cloakroom that can be used
- Will there be any other events delivered on the same day
- What catering options do you have
- What budget would be required for each of the spaces
- Are there any economies of scale to booking the space exclusively
